About our client: Our client is a 50-person Real Estate investment firm with offices across Chicago, New York and Puerto Rico. They focus on multi-family residential real estate development, acquisitions, property management, leasing and corporate real estate services in up-and-coming Chicago neighborhoods. The Company has developed, owned or managed more than 3000 apartment units valued in excess of $300 million. They are hiring for an Office Manager to oversee the efficient operations of their Pilsen Chicago office, help build and maintain a collaborative and fun work environment and is responsible for upholding administrative protocols.
About You
- Minimum of 2 years of experience with office management in a fast-paced environment.
- You’re a self-starter who likes to take the initiative.
- Confident user of Microsoft products and other workplace tools.
- Highly organized and detail-oriented, with ability to prioritize effectively and work independently.
- Familiarity with benefit administration providers and plans.
- Familiarly with booking travel, meetings, and company events.
- Strong project management skills.
- Positive energy, focused on delivering creative, high-quality solutions.
- Passion for delivering high level of customer service and confidence in managing range of stakeholders.
- Creative mindset with energy to deliver new employee experiences and events.
- Comfort working in fast-paced and collaborative environment with ability to maintain professional composure under pressure.
What You’ll Do
- Ensure an efficient and well run office by taking initiative and working closely with team members.
- Produce employee events and engagement initiatives for the Chicago, NYC and Puerto Rico employees.
- Executive Assist the COO as needed.
- Maternity coverage for the CEO’s Executive Assistant (3 months).
- Enhance administrative processes by identifying improvements and implementing solutions that save time and improve accuracy.
- Serve as primary point of contact for office-related needs including facilitating communication to staff about office-related changes and updates in addition to vendors (handyman, cleaning crew, etc)
- Oversee third-party vendor selection, make recommendations to senior management, negotiate and manage vendor contracts, facilitate vendor payments.
- Assist 2 x/month in the south Chicago office to help coordinate move-ins and rent collections.
- Liaise with many internal stakeholders, including C-suite and Operation teams.
- Conduct new hire orientations and assist with new hire onboarding and process for departing employees.
- Manage ad-hoc administrative requests and operative tasks within the office.
- Maintain supplies and food/beverage in office.
